Private & Corporate Events

Rental Fee includes:

• Free parking for guests. 
  • Parking Spaces= Upper Lot: 50 guest/8 ADA & Lower Lot: 186 guest/16 bus
• Use and occupancy of contracted area(s) for contracted scheduled time(s).
• One hour for Vendor/Booking Client setup and one-half hour of breakdown time. 
• Onsite event representative and staff required to execute rental of contracted area(s).
• The use and set up of available, uncovered tables and chairs to include 60” rounds (19), 8’ rectangle (25), 6’ rectangle (6), 30” highboys (15), and black cloth chairs (200).

Requests to reserve space are accepted up to 15 months in advance of the event date. A requested date can be held for up to 14 days, after which a signed contract and deposit are required. The date will be released if a signed contract and deposit have not been received within seven days of being issued or a total of 21 days from date of original hold.  If a potential client reaches out during the hold period, Adventure Science Center will contact the client with the hold to make a final decision, sign a contract and make a deposit within three business days.

Adventure Science Center is open to the public Monday, Thursday, Friday from 9 am to 3 pm and Saturday, Sunday from 9 am to 5 pm.  Note we are closed to the public on Tuesdays and Wednesdays.

On days we are open to the public, only Jack Wood Hall is available until after hours.  All other event spaces are available on closed days or after closing. After-Hours event times must begin a minimum of 30 minutes after science center closing time and set-up is limited until after the science center closes. Later start times may be needed depending on the area(s) rented and the scope of the setup.

The science center is perfect for anything from getting down to BUSINESS including meetings, presentations, networking mixers, and education retreats to CELEBRATIONS like holiday parties, Bar/Bat Mitzvahs, school dances, weddings, album releases or showcases etc…

But there are a few things we can’t host. The following types of events or activities are strictly prohibited:

1. • Speakers, messaging, or themes that contradict with the mission (see here) or scientific principles upheld by Adventure Science Center.
   • Politically affiliated events, agendas, or speakers
   • Private events cannot be fundraisers outside of designated Adventure Science Center fundraisers and cannot be ticketed externally to the public.

Yes, we have a preferred vendor list that we ask that you work with for your food and beverage needs linked here.  We can make exceptions on a case-by-case basis but there are additional steps required to verify they can conduct business on the science center's property.

The following is a summary of policies that outline what is permitted and required of private rental events at Adventure Science Center. A signed Venue Contract that expands on the summarized policies is required. Should you need additional clarification please speak with your Event Manager.

1. Event dates can be placed on a 14-day hold from the date on which a written request is received from the Booking Client and written approval is provided by the Events Manager. At the end of a 14-day hold, a Venue Contract must be requested by the Booking Client, or the date is reopened to the public.
2. Upon issuance, a signed Venue Contract and 50% deposit must be submitted by the Booking Client within 7 days to confirm the event.
3. Full payment is due prior to the event. Final payment may include a refundable damage deposit; refundable post-event where no damage or excessive clean-up is incurred because of the event.
4. The following types of events or activities are strictly prohibited:

5. Rental Fee includes:
   • Use and occupancy of contracted area(s) for contracted scheduled time(s).
   • One hour for Vendor/Booking Client setup and one-half hour of breakdown time.
   • Onsite event representative and staff required to execute rental of contracted area(s).
   • The use and set up of available, uncovered tables and chairs to include 60” rounds (19), 8’ rectangle (25), 6’ rectangle (6), 30” highboys (15), and gray cloth chairs (150).
   • Free parking for guests.
     • Parking Availability= Upper Lot: 50 guest/8 ADA & Lower Lot: 186 guest/16 bus

6. All exhibits and meeting rooms (“areas”) outside of the contracted area(s) will be closed and inaccessible to guests.
   • Discounted general admission tickets can be added to rentals taking place during operating hours.
7. After-Hours event times must begin at a minimum of 30 minutes after the science center closing time and set-up is very limited until after the science center closes. Later start times may be needed depending on the area(s) rented and the scope of the setup.
8. Adventure Science Center will furnish a clean, usable site that should be returned in the same condition in which it was found.
9. Décor other than tabletop décor must be approved by the Event Manager in advance, follow the guidelines listed on contract, and be removed at the end of the event.
10. Additional Adventure Science Center equipment (black linens, AV equipment, staging, etc...) and/or shows/activities may be available to add to the scope of the event and must be requested and confirmed no less than 14 days in advance of the event.
11. Storage of event materials and rentals before or after the event is limited and may require a storage fee.
12. Alcohol must be served by an ABC-certified bartender and only after Adventure Science Center closes to the public, where food is served, where security is onsite, and where applicable permits or licenses are provided by the client and/or bar services.
13. We ask you to choose from our list of Approved Vendors for your food, beverage, and rental needs. Exceptions are granted on a case-by-case basis. Food and beverages may be restricted in some areas of the science center.
14. Adventure Science Center assumes no liability on behalf of the Client and is not responsible for securing any necessary permits or insurance certificates.
15. The client assumes full responsibility for damages to the physical premises and properties of Adventure Science Center identified in the Venue Contract and for personal injuries that occur inside and outside the premises because of the event.
16. A COI (Certificate of Insurance) with no less than $1,000,000 per occurrence naming Adventure Science Center as additionally insured is required for any event that (a) takes place in an exhibit hall, (b) occurs after 6:00 pm, and/or (c) where alcohol is served.
    • COIs can be obtained through Booking Client’s company insurance provider, personal insurance providers or online providers such as com, Eventsured.com, or TheEventHelper.com
    • Host Liquor liability and/or Statutory Workers’ compensation may be required where applicable.
17. Contracted security is required for any event that (a) takes place in an exhibit hall, (b) takes place after 6 pm, (c) where alcohol is served, and /or (d) where people under the age of 18 are included in the guest count.
18. A refundable damage deposit is required where an event (a) takes place in an exhibit hall, (b) takes place after 6 pm, (c) where alcohol is served, and /or (d) where people under the age of 18 are included in the guest count.
19. Cancellations are accepted in writing only and the deposit is refunded on a sliding scale as noted on the Venue Contract.
20. Adventure Science Center is a smoke-free campus. Smoking is not permitted inside or outside the building. Weapons/guns/knives, illegal narcotics, hazardous materials, pyrotechnics, and dangerous animals are also not permitted on the premises.
21. All advertising and promotional materials including but not limited to tv, print, radio, email, or social media that include the science center name, logo, or likeness must be pre-approved by the Adventure Science Center Marketing department.
